What is MaxFest?

MaxFest is Maxient’s annual user conference where you can learn about the best and most innovative ways to use our software from both Maxient staff and your colleagues in the field. Longer and more comprehensive than our regional trainings, this multi-day event features specialized sessions covering a wide range of user experience and topics. In past years, we have offered over 40 sessions covering topics such as:

  • Building incident reports and letter templates
  • Level 5 user powers and responsibilities
  • Communication tools (such as texting, tasks, and notes) 
  • Launching new processes
  • Training new users
  • Updating your system as your processes change
  • Discussions regarding specific use in Accommodations, Title IX, and BIT/CARE 

MaxFest will take place over two and a half days featuring sessions presented by Maxient staff and current clients.  We'll begin with a Welcome Session which will reveal new features coming to the software and end with the Development Forum held over lunch on the last day where you can share your opinion on what features might be developed in the future. As always, the Support Room will be available for you to meet with colleagues or chat one-on-one with a Maxient support team member.  You (and any family/friends that might travel with you to Louisville) are also invited to join us for dinner and our social event at Louisville Slugger Field, where we will watch the Louisville Bats take on the Indianapolis Indians on Tuesday, July 1.

  • MaxFest Registration includes the Welcome Session and Reception on Sunday, concurrent sessions on Monday, Tuesday, and Wednesday, the social and dinner on Tuesday night, and the Development Forum and Lunch on Wednesday.

Pre-Conference Sessions - Sunday, June 29

Morning Sessions (8:30 am to 11:30 am)

  • General Workflow Bootcamp focuses broadly on the basics of using Maxient. Bootcamp is essentially a Maxient training session that will feature a demonstration of the software using a simple workflow process. This session is best for new users in need of a strong introduction to the software and existing users that would appreciate a thorough refresher.
  • All Things Analytics will review the standard analytics available in Maxient, as well as the custom reporting function and include time to practice your skills with the assistance of Maxient staff. Learn how to use additional filtering options within the Analytics and Custom Analytics screens. Attendees will create custom reports under the direction of staff, but should also come prepared with an idea of a custom report or two that they would like to create on their own.

Afternoon Sessions (1:00 pm to 4:00 pm)

  • Administrative Screens focuses on essentials for Level 4 and 5 users who serve as Maxient administrators on their campus. This session is best for attendees who are not yet familiar with the abilities that Level 4 and 5 users have to make adjustments in the software to reflect changes in users, updates to existing or adding additional processes, and overall system management via the Administrative functions available on your Maxient homescreen. 
  • Title IX Configuration and Workflow will discuss reporting forms, managing cases, charges/issues, interim measures, analytics, and more with the focus specifically on Title IX processes. Attendees should already have a basic understanding of Maxient and the standard workflow, or have attended the morning's General Workflow Bootcamp.

Post-Conference Work Session - Wednesday, July 2, 2025

This work session will occur after a short break following the luncheon on the last day of the conference. You may bring your entire delegation to this hands-on work session, although only one of you needs to register for this opportunity! You will be assigned to work with a specific Maxient staff member to review your system, ask questions about Maxient administration or workflow, and make updates, if desired. Please provide information about what you hope to achieve by participating in this work session, how many colleagues will be in attendance, and what questions you have. This information will help our staff members prepare to meet with you!

Please note that requested t-shirt size cannot be guaranteed for registrations submitted after June 1, 2025. We will make every attempt to meet your request, but size and availability may be limited for those registrations.

  • This event will take place on Wednesday after the end of the concurrent sessions. Please note that if you are unable to attend, and let us know, we will make a donation to a local food bank.

A full refund of your MaxFest registration, minus a $35 administrative fee, can be obtained if requested by emailing [email protected] prior to April 29, 2025. Cancellations requested more than 60 days from the registration date will likely result in the refund occurring via check. The $35 administrative fee will also apply throughout the registration period if requesting to cancel a completed registration to switch payment to a different credit card. **Please note that payment type cannot be switched to a credit card if registration is submitted for mail-in payment.**

Cancellations submitted between April 29 and May 31, 2025 will result in a 50% refund of your registration fee. No refunds will be given beginning on June 1, 2025. Registrations may be transferred to other staff members at the same institution for no additional fee. Please let us know in advance if a transfer is necessary.

Please note: Your registration indicates an intention to attend MaxFest and subjects you to the cancellation policy, as outlined above. Lack of payment or attendance will not cancel your registration and you will be subject to the refund policy as outlined above.

If you are playing with a credit card, you can avoid the cancellation fee and refund policy by enrolling in Purchase Protection below, where a full refund of your registration fees will be offered if your inability to attend is covered by their terms.
